Aliso Niguel High School Pep Squad Booster Club, Inc.
Board Positions (elected positions)
President
¨ Conduct the affairs of the Pep Squad and execute the policies established by the Board of Directors: be in direct communication with the advisor and the administration of the school.
¨ Present a report in conjunction with the treasurer of the condition of the Pep Squad Boosters at the annual meeting; coordinate the information packets to be distributed to the new members at the annual meeting.
¨ Communicate to the Board of Directors such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of the Pep Squad.
¨ Designate duties and assignments to other officers if necessary.
¨ Prepare and submit with the Treasurer an annual budget to the Board of Directors and be responsible for the execution thereof. The Pep Squad Advisor shall submit a requested budget to the President and Treasurer, which will be considered in the preparation of a proposed budget to be presented to the Members for approval.
¨ Annually order an independent audit of the annual financial report prepared by the Treasurer .** The cost of such audit shall be evenly distributed among all members of the Aliso Niguel High School Pep Squad.
Vice President/Director of Fund-raising
Vice President/Director of Sponsorship
Shall assume and perform all duties of the President when the President is incapacitated due to sickness, accident, or continued absence, upon approval of the Board of Directors. Each respective Vice President will perform such other duties as may be prescribed from time to time by the Board of Directors. In the event the President's office becomes vacant, the Board will appoint and elect a new President choosing either existing Vice President, and appoint a new V ice President to fill the remaining term, as set forth in Section 6.08, above. Each respective Vice President will also be responsible for the Fund-raising and sponsorship programs.
Vice President/Sponsorships
· Investigate and coordinate ways and means of financing through team and /or individual sponsorships and submit recommendations to the Board of Directors for approval.
· Send acknowledgement/tax letters to each sponsor in a timely manner.
· Coordinate with the person responsible for the monthly newsletter and the annual competition to ensure that each sponsor’s advertisements are printed as agreed in the Pep Squad sponsorship letter.
· Coordinate sponsorship plaques as per the Pep Squad sponsorship letter at the end of the season.
· Assume the duties of the President in the event he/she is unable to perform his/her duties.
Vice President/Fundraising
· Chair all activities conducted in raising funds for the Pep Squad/individual squads.
· Work with each squad representative to schedule activities based on squad need.
· Assign/recruit volunteers to assist in activities.
· Direct responsibility for the purchase, sale and inventory of all items sold by the Pep Squad Booster Club.
· Turn in final accounting/funds from all fundraising activities to the Treasurer in a timely fashion.*
· Coordinate annual Pep Squad competition with President and Treasurer.
· Assume the duties of the President in the event he/she is unable to perform his/her duties.
Recording Secretary
· Keep minutes of all Board of Directors and general membership meetings.
· Custodian of the corporate records.
· Maintain roster of Booster Club members.
Treasurer (in coordination with our professional bookkeeper)
· Receive all moneys of the organization; deposit all funds in the name of the Booster Club in a local bank.
· Keep record of all receipts and disbursements.
· Make periodic reports as required by law.
· Facilitate the disbursement of salaries in accordance with Capistrano Unified School District policy.*
· Maintain separate ledgers for each fundraising event and each member of the Pep Squad.
· Prepare an annual financial report in cooperation with the President for submission to the membership and Board of Directors at the annual meeting.
· Timely file the pep Squad tax returns with the assistance of an accountant, if necessary.*
· File all 1099’s/other required filings with the IRS/California Franchise Tax Board.*
· Custodian of Tax Records for the booster Club.*
· Prepare monthly statements of account for each Pep Squad member.
· Report monthly on the financial health of the Booster club.

Squad Rep Coordinator
· Maintain, makes copies and distribute the squad representative binders to all squads.
· Coordinate all events with all squads.
· Track the individual squad reps gifts/expenditures to ensure that each such squad rep adheres to the budget for that individual squad.
· Coordinate Homecoming and Senior Night events. *
· Coordinate and put on the New Squad Party.*
· In the case of overnight events involving more than one squad, coordinates with all squad reps for reservation and accommodations.
· Do all things necessary to make sure that each of the squad reps is fulfilling their duties and is coordinated with other squads.
· Coordinate and prepare the monthly newsletter; obtain information for the newsletter from the President, Advisor, Squad Representatives.*
Squad Representatives (one for each squad)
· Serve as liaison between the Board of Directors and each squad.
· Communicate Board activities and develop membership support with each squad.
· Plan individual activities/parties per squad.
· Work with the Vice President/Fundraising to assist in individual squad fundraising efforts. **

Committee Chairpersons (appointed positions)
Audit Committee
Using the self-audit form, this committee of 3-5 persons will audit the books of the booster club from the prior year. This should be completed by the end of June.
Fundraising Committee
This committee will be chaired by the VP of fundraising to assist in coordinating all fundraising events.
Uniform Chairperson
This person will work with the coaches and booster club to coordinate the ordering, payment, receipt and distribution of uniforms and camp wear. This will be a “summer job” as all uniforms will be received prior to the beginning of the school year. This is a new position and may require additional help from another member.
Shall be responsible for all items under uniforms, i.e. sweaters, backpacks, shoes, accessories, embroidery, boxes and decals. The Chairman will procure three (3) bids on uniforms, present the bids, with recommendations to the Board of Directors. The Board will review and select a vendor. The Chairman of Uniforms, in conjunction with the Treasurer, will place the uniform order. Once received, the order will be managed and distributed by the Chairman of Uniforms.
Communications-Web Master
Communication/Web Page Committee shall consist of persons appointed by a majority vote of the Board of Directors. The committee shall design, create and update an electronic communications page to inform all members and interested parties of the events, activities and successes of the Pep Squad and shall contain and maintain a master calendar. Unless and until the web page is operating, the committee shall telephone all members of the organization as well as parents of all team members to keep them advised of any special needs of the organization or special functions in which their support is requested. The Communications Committee shall be responsible for keeping the Pep Squad Master Calendar.
